## Reschedule bookings from Google Calendar

This is one of the most requested features: you can now **reschedule a Cowlendar booking by simply moving the event in Google Calendar**.

### How it works

1. Open your Google Calendar.
2. Find the Cowlendar event you want to reschedule.
3. Drag it to a new time, or open it and change the date/time.
4. Save the event.

That's it. Cowlendar will pick up the change and:

- Update the booking with the new date and time.
- Notify the customer via email (and SMS/WhatsApp if configured).
- Update any other linked calendar events (Outlook, Zoom, other teammates' calendars).

### Things to know

- **The new time is trusted as-is.** Cowlendar does not check availability when you reschedule from Google Calendar. If you move a booking to a time that's already full, it will be accepted. This gives you full flexibility but also means you're responsible for checking availability yourself.
- **There can be a delay of 90 to 120 seconds** between when you move the event in Google Calendar and when Cowlendar processes the change. This depends on how congested Google's push notification API is at that moment. During busy periods, it may take up to 2 minutes for the reschedule to go through.
- **The customer is notified** just as if you had rescheduled from the Cowlendar admin.

### How to enable it

1. Go to **Cowlendar** in your Shopify admin.
2. Click on **Team** in the left sidebar.
3. Click on the teammate whose Google account is connected.
4. Scroll down to the **Google integration** section.
5. Toggle **Allow rescheduling bookings from Google Calendar** to ON.

> **Note:** This setting is per teammate. If you have multiple teammates with Google connected, you'll need to enable it on each one individually.

## Cancel bookings from Google Calendar

Similarly, you can now **cancel a Cowlendar booking by deleting the event in Google Calendar**.

### How it works

1. Open your Google Calendar.
2. Find the Cowlendar event you want to cancel.
3. Delete the event.

Cowlendar will pick up the deletion and handle it exactly like an admin cancellation:

- The booking is marked as canceled.
- The customer is notified via email (and SMS/WhatsApp if configured).
- The Shopify order is handled according to your cancellation settings.
- Other linked calendar events (Outlook, Zoom, other teammates' calendars) are updated accordingly.

### Things to know

- **Same delay as rescheduling.** It can take between 90 and 120 seconds for Google to send the notification to Cowlendar, depending on API congestion. Don't worry if the booking doesn't appear as canceled immediately.
- **This is a real cancellation.** Deleting the Google Calendar event is treated the same as clicking "Cancel" in the Cowlendar admin. The customer will be notified and the order will be handled per your settings. Make sure you really want to cancel before deleting.
- **If you accidentally delete a Google event**, the booking will be canceled. There is no undo from the Google Calendar side. You would need to create a new booking from the Cowlendar admin.

### How to enable it

Same location as the rescheduling toggle:

1. Go to **Cowlendar** → **Team** → click on the teammate.
2. Scroll to **Google integration**.
3. Toggle **Allow canceling bookings from Google Calendar** to ON.

> **Important:** Both rescheduling and canceling from Google Calendar are disabled by default. You need to explicitly enable them. We did this on purpose so that accidental event changes in Google don't unexpectedly modify your bookings.

## Choose who organizes the meeting

Previously, Google Calendar events were always created by the admin account (shop owner). Now you can choose per service who should be the **meeting organizer**.

### The two options

| Option | What it means |
|---|---|
| The teammate assigned to the booking | The event is created on the assigned teammate's calendar using their Google account. They own the event and the meeting link (Google Meet). If the teammate hasn't connected their Google account, Cowlendar falls back to the admin account. |
| Always the admin account (shop owner) | The event is always created on the admin's calendar, like before. This is the default for new services. |

![Image](https://orka-chat.fra1.cdn.digitaloceanspaces.com/prod/help/671a5e245d077ea954b2cd4c/import/1791976330853-1787609348635-r8yg3vhk6k.webp)

### Why this matters

If you use **Google Meet** as your meeting location, the organizer determines who owns the meeting link. When a teammate is the organizer:

- The Google Meet link is generated from their account.
- They have full host controls during the call.
- The link is associated with their calendar, not the admin's.

This is especially useful for teams where each teammate runs their own sessions and needs their own meeting links.

### Where to configure it

1. Go to **Cowlendar** → **My Services** → click **Edit** on the service.
2. Scroll to the **Meeting location** section.
3. Under **Meeting organizer**, select your preferred option.

> A calendar event is created for every booking on the connected Google / Outlook account, whatever the meeting location. The organizer choice also applies to those calendar events.

---

## Admin invitation to teammate events

When a teammate is the meeting organizer, the admin (shop owner) no longer sees the event on their own calendar by default since the event is created on the teammate's calendar. To solve this, there's a new option:

**Invite the admin (shop owner) to the events**

When enabled, the admin account is added as a guest to every Google/Outlook event organized by a teammate. This way, the booking stays visible in the admin's calendar even though the teammate owns it.

This is **enabled by default** and can be toggled off per service if the admin doesn't need to see individual teammate bookings.

## Google event colors

You can now choose a specific color for the Google Calendar events created for each service. This makes it easy to visually distinguish different services at a glance in your calendar.

### Available colors

There are 11 colors to choose from, matching Google Calendar's built-in color palette:

🔴 Tomato · 🩷 Flamingo · 🟠 Tangerine · 🟡 Banana · 🌿 Sage · 🟢 Basil · 🩵 Peacock · 🔵 Blueberry · 🫐 Lavender · 🟣 Grape · ⬛ Graphite

To reset to the default calendar color, click the currently selected color again to deselect it.

### Where to configure it

The color picker is in the **Meeting location** section of each service, right below the meeting organizer option.

> **Note:** Google event colors only apply to Google Calendar. Outlook does not support per-event colors from external apps.

## Improved rescheduling logic

Under the hood, we've completely rewritten how rescheduling works across all calendar providers (Google, Outlook, and Zoom). Here's what changed:

### Before
- Google: simple in-place update (no event creation if the event was missing).
- Outlook: delete then create (separate logic).
- Zoom: its own separate logic.
- If the host changed (e.g., a different teammate was assigned), the organizer never changed and Zoom/Outlook were not affected.

### Now
- **Unified logic across all 3 providers.** The same rescheduling process applies whether you use Google, Outlook, Zoom, or any combination.
- **If the resolved host has changed** (because a different teammate was assigned), Cowlendar recreates the event with the new host and deletes the old one. This eliminates the risk of losing the event.
- **If the host hasn't changed**, the event is updated in place (faster, no disruption).
- **Google now creates missing events during rescheduling**, just like Outlook and Zoom already did. So if a sync error previously caused a Google event to go missing, rescheduling the booking will recreate it.

---

## Teammate change without rescheduling

This is a new behavior. Previously, when you changed the assigned teammate on a booking (without changing the time), only the Google attendees were updated. The organizer never changed, and Zoom/Outlook were not affected.

Now:

- The host is **re-resolved across all 3 integrations** (Google, Outlook, Zoom).
- If the new teammate should be the host (based on your Meeting organizer setting), the event is **re-hosted**: created on the new teammate's calendar, deleted from the old one.
- The former teammate no longer keeps the booking on their calendar.
- The customer is notified **only if their meeting link has actually changed** (e.g., a new Google Meet or Zoom link). If the link stays the same, no unnecessary notification is sent.

---

## What happens with existing (legacy) bookings

If you have bookings that were created before this update, they are treated as **admin-hosted** (since that was the only behavior before).

When you reschedule or reassign a legacy booking:

- Cowlendar checks who the resolved host should be based on your current Meeting organizer setting.
- If the resolved host differs from the admin, the event is re-hosted to the correct teammate's calendar.
- This is automatic and you don't need to take any action.

---

## The 2-way sync explained

With these new features, the 2-way sync between Cowlendar and Google Calendar now works like this:

### Cowlendar → Google (always active when Google sync is enabled)

- **New booking** → a Google Calendar event is created on the organizer's calendar (admin or teammate, based on your setting).
- **Booking rescheduled in Cowlendar** → the Google event is updated (or re-hosted if the teammate changed).
- **Booking canceled in Cowlendar** → the Google event is deleted.
- **Teammate changed in Cowlendar** → the event is re-hosted if needed.

### Google → Cowlendar (opt-in per teammate)

- **Google event moved** → the booking is rescheduled in Cowlendar (if "Allow rescheduling" is enabled). Customer is notified. Other calendars updated. Takes 90-120 seconds.
- **Google event deleted** → the booking is canceled in Cowlendar (if "Allow canceling" is enabled). Customer is notified. Order handled per your settings. Takes 90-120 seconds.
- **Google event on the same calendar blocks Cowlendar availability** → if you have a dentist appointment at 9am on your Google Calendar, no booking can be made on Cowlendar at 9am, no matter what your availability settings say.

---

## Summary of where to find each setting

| Setting | Location |
|---|---|
| Connect Google account | Team → teammate → Google integration |
| Choose calendar | Team → teammate → Google integration → "Calendar to use" |
| Enable 2-way sync | Team → teammate → Google integration → "2-way sync" toggle |
| Allow rescheduling from Google | Team → teammate → Google integration → toggle |
| Allow canceling from Google | Team → teammate → Google integration → toggle |
| Meeting organizer | My Services → service → Meeting location → "Meeting organizer" |
| Admin invitation | My Services → service → Meeting location → "Invite the admin" toggle |
| Google event color | My Services → service → Meeting location → color picker |

## Troubleshooting

### I moved an event in Google Calendar but the booking didn't update

Give it up to **2 minutes**. Google's push notification API can take between 90 and 120 seconds to notify Cowlendar, especially during peak hours. If after 2 minutes the booking still hasn't changed, check:

- Is the **"Allow rescheduling bookings from Google Calendar"** toggle enabled for that teammate?
- Is the Google account still connected? (Check **Team** → teammate → Google integration. It should say "Connected".)
- Was the event originally created by Cowlendar? Only Cowlendar events can be rescheduled this way. Regular Google Calendar events that weren't created by Cowlendar are ignored.

### I deleted a Google event but the booking wasn't canceled

Same as above: wait up to 2 minutes, then check:

- Is the **"Allow canceling bookings from Google Calendar"** toggle enabled?
- Was it a Cowlendar event? Deleting a personal event won't affect any bookings.

### The meeting link didn't change when I reassigned a teammate

This is expected if your **Meeting organizer** is set to **"Always the admin account"**. In that case, the admin always owns the meeting link, regardless of which teammate is assigned. If you want teammate-specific links, switch the organizer to **"The teammate assigned to the booking"**.

### I can't find the meeting organizer or event color settings

These settings are in the **service configuration**, not in the teammate settings. Go to **My Services** → click **Edit** on the service → scroll to **Meeting location**.

### My old bookings still show the admin as organizer

That's correct. Existing bookings are treated as admin-hosted. The new organizer setting only applies to new bookings and rescheduled bookings going forward. If you reschedule an existing booking and your organizer is set to "teammate", the event will be re-hosted to the teammate at that point.
